Hello, and thanks for being here
This policy explains what personal information I collect, why I collect it, how I look after it and what your rights are. I’ve tried to keep it in plain English. If anything isn’t clear, just email me.
Who I am
This website is run by Sam Beasley, a sole trader trading as Assisted by Beasley and The VA Way. I’m the “data controller” for the personal information described here.
Contact: sam@assistedbybeasley.co.uk
Website: https://assistedbybeasley.wordpress.com
What information I collect
Depending on how you work with me, I may collect:
- Contact details: your name, email address and phone number, if you give them to me.
- Enquiry information: anything you tell me when you get in touch through the website, email, social media or messages.
- Email list details: your name and email address if you sign up for a freebie, webinar or newsletter, plus basic information about whether you open or click my emails.
- Customer and client details: information you share when you book a Power Hour, buy a course or join coaching. That includes your business details, goals and anything you choose to tell me during our sessions.
- Payment information: payments are handled by a secure third-party provider. I never see or store your full card details.
- Website information: basic technical details such as your browser type and pages visited, plus anything you enter if you leave a comment.
Why I use it, and my lawful basis
| What I do | Why | Lawful basis |
|---|---|---|
| Reply to your enquiry | So I can help you | Legitimate interests |
| Send freebies, newsletters and offers | Because you asked to join my list | Consent (unsubscribe any time) |
| Deliver coaching, courses and VA services | To do what you’ve paid me for | Contract |
| Keep financial records | Because HMRC requires it | Legal obligation |
| Improve my website and content | To understand what’s useful | Legitimate interests |
I’ll never sell your information, and I won’t add you to my email list unless you’ve signed up.
Who I share it with
I only share your information with trusted services that help me run my business. They may include:
- Website hosting: WordPress.com (Automattic), including its spam filtering for comments
- Email marketing: my email marketing provider (for example, Mailchimp)
- Email, calendar and file storage: my business email and cloud storage provider (for example, Google)
- Payments and bookings: my payment and booking providers
- Video calls: the platform we use for coaching sessions (for example, Zoom or Google Meet)
- Professional advisers: such as an accountant, where needed
Some of these providers store data outside the UK, mainly in the USA. Where that happens, they use approved safeguards (such as UK adequacy regulations or standard contractual clauses) to protect your information.
I may also share information if the law requires me to.
If you’re a VA client
When I handle personal information on your behalf (for example, your customers’ details, your inbox or your diary), I act as your “data processor”. I only use that information to do the work you’ve asked for, I keep it confidential, and I return or delete it when our work ends. The details are set out in our client agreement.
Cookies
This website uses cookies so that it works properly, to remember your details if you leave a comment, and for basic visitor statistics. Because the site is hosted on WordPress.com, it may also use cookies set by WordPress.com, including for adverts shown on the site. You can control or block cookies through your browser settings.
Pages may include embedded content from other sites (like videos or social media posts). Those sites may collect data about you as if you’d visited them directly.
How long I keep it
- Email list: until you unsubscribe
- Enquiries that don’t go further: up to 12 months
- Client and customer records: for the length of our work together, plus up to 6 years for tax and legal reasons
- Website comments: until they’re removed
How I keep it safe
I use password-protected accounts with two-factor authentication where available, only reputable providers, and I only access your information when I need to. If there’s ever a data breach that puts you at risk, I’ll tell you and, where required, the Information Commissioner’s Office (ICO).
Your rights
You have the right to:
- ask for a copy of the information I hold about you
- ask me to correct anything that’s wrong
- ask me to delete your information
- object to, or ask me to limit, how I use it
- withdraw your consent at any time (for example, by unsubscribing)
- ask for your information in a format you can take elsewhere
To use any of these rights, email sam@assistedbybeasley.co.uk. I’ll reply within one month. It’s free.
Complaints
If you’re unhappy with how I’ve handled your information, please email me first at sam@assistedbybeasley.co.uk. I’ll acknowledge your complaint within 30 days and do my best to put things right quickly.
If you’re still not happy, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Children
My services are for adults. I don’t knowingly collect information from anyone under 18.
Changes to this policy
I may update this policy from time to time. The latest version will always be on this page.
